Perfect for the client who has completed most of the planning but needs help bringing every piece together. We step in about 12 weeks before the event to finalize details, create the timeline, and become the main point of contact through event day.
Event Planning & Logistics
Until 3 months prior to event
- Meet-and-greet consultation to assess completed work and outstanding tasks.
- Unlimited email and text communication for planning-related questions.
- One weekly update call or virtual meeting with vendors and/or clients, as needed.
Pre-Event Production
- Preliminary meeting to discuss the general event overview.
- Site walkthrough to review logistics, finalize details, and discuss event flow.
- Unlimited email correspondence during the two months prior to the event.
- Detailed day-of timeline for clients and vendors.
- Access to the planner’s preferred vendor list, planning checklist, and other planning resources.
- Collection of client documents, vendor list, certificates of insurance, timeline, and diagrams required by vendors.
Week of Event
- Review contracts and confirm vendor details and arrival times.
- Final meeting with the client to collect personal décor and event items.
- Complete timeline walkthrough with the client and necessary vendors.
- Collection of final payments and gratuities for event-day distribution.
- Ceremony rehearsal orchestration in collaboration with the officiant, client, and wedding party.
Event Day
- On-site arrival to welcome vendors and clients.
- Coordination of all event components.
- Primary contact for the client and key participants.
- Event emergency kit, including sewing kit, stain remover, steamer, and related essentials.
- Guest and vendor liaison.
- Coordination of deliveries and setup in accordance with vendor contracts.
- Distribution of final vendor payments and gratuities.
- Setup and arrangement of décor, candles, favors, and related details.
- Setup of escort cards, menu cards, and other applicable stationery.
- Final lighting, sound, and temperature inspections before guest arrival.
- Final seating and table checks before ceremony and reception areas open.
- Resolution of event-day issues as they arise.
- Cueing of music changes and speeches with entertainment or DJ.
- Oversight and cueing of dinner, entrances, dancing, and other special moments.
- Management of the event timeline as the central vendor contact.
- Facilitation of table and chair setup and breakdown in accordance with venue requirements and restrictions.
- Facilitation of a room flip, when applicable.
- Event-day coordination and supervision for up to 14 hours. Additional staff may be required for events taking place in multiple locations.
- Pack and deliver client-provided décor to a pre-selected location or person after the event.
- Oversee venue strike.
