Event Planning & Logistics
Until 2 months prior to event
- Meet-and-greet consultation to review what you’ve completed and identify what still needs attention.
- Unlimited email and text communication for planning-related questions.
- One weekly update call or virtual meeting with vendors and/or clients, as needed.
Pre-Event Production
Coordination begins approximately 6–8 weeks prior
- Review of vendor contracts, floor plans, timeline, and logistics planned to date.
- Collection of vendor contact information, event-day needs, and outstanding questions or deliverables.
- Venue walkthrough, if needed or included.
- Creation of a comprehensive wedding-day timeline.
- Confirmation of vendor arrival times, responsibilities, and final details.
- Assistance identifying any remaining logistical gaps.
Week of Event
- Final planning meeting to confirm details and answer remaining questions.
- Distribution of the finalized timeline to the vendor team.
- Final meeting with the client to review personal décor and event items.
- Walkthrough of the complete timeline with the client and necessary vendors.
- Collection of final payments and gratuities for distribution on event day.
- Ceremony rehearsal orchestration in collaboration with the officiant, client, and wedding party.
Event Day
- Lead coordinator on-site for up to 10 hours. Additional staff may be needed for multi-location events or complex timelines.
- Coordination of vendor arrivals, setup, and breakdown according to the timeline.
- Primary contact for vendors, venue staff, and designated family members.
- Oversight of ceremony setup and reception preparations.
- Cueing of the ceremony processional and recessional.
- Management of the wedding-day timeline.
- Coordination of entrances, toasts, dinner service, dances, cake cutting, and special moments.
- Resolution of minor issues and last-minute changes before they reach the couple.
- Distribution of guest books, cards, gifts, décor, favors, and other personal items to designated individuals.
- Personal décor setup and collection, as outlined before the wedding.
- Distribution of final payments and gratuities to vendors.
- Décor setup at applicable event sites. Additional staffing may be needed for heavy DIY or client-provided décor.
